We rebuild it in a CRM so that every enquiry has an owner and a due date, and the sales manager can see on Monday morning how many proposals are stuck and at which stage. Along the way we sort out marketing consents, because a contact list without documented permission is a liability rather than an asset.

Sessions with the sales team and their manager: what a typical deal looks like, who decides on the customer side, where things stall.

Stages and criteria

Every stage has an exit condition that can be verified, for instance “quote with price sent” rather than “client is thinking about it”.

Lead sources

Website forms, the sales inbox, Meta and LinkedIn lead ads, and enquiries from Allegro and price comparison sites flow into the CRM automatically, tagged with source and campaign.

Assignment and deadlines

Rules deciding who receives which enquiry, tasks with a first-response deadline and alerts when a lead sits idle.

Consent and GDPR

Separate fields for newsletter, SMS and sales contact consent, a record of when and how each was given, handling of withdrawals, and a retention period for leads that never became customers.

Reporting

Conversion between stages, average time to close, pipeline value at quarter end and the workload of each salesperson.

Workshop

Two or three online sessions with sales. We leave them with a process map and a list of fields that are genuinely needed.

Stages, fields, permissions, website and inbox integrations, and import of the existing database once duplicates are cleaned out.

On live opportunities, before launch. A system nobody knows how to use sits empty for its first week.

Review after a month

We look at what the team ignores or works around, and simplify the set-up accordingly.

The more mandatory fields, the less truth in the CRM. A salesperson forced to fill in fifteen boxes to log a call starts typing full stops and “to be completed”. Three fields filled in honestly are worth more than fifteen completed just to make the form go away.

Questions and answers

That depends on your process. Some systems are simpler for a small sales team, others tie marketing and sales more closely, and some, like Bitrix24, add tasks, an intranet and chat alongside the CRM. Vendors change their prices and plans, so we compare them on current terms and base the choice on how you really sell.

Do not send them newsletters or text messages, as electronic marketing generally requires the recipient to agree beforehand. We help split the list into contacts with documented consent, existing customers and everyone else, and prepare the technical side of a campaign to collect consent afresh. The legal view is for your lawyer or data protection officer.

Start by finding out what exactly gets in their way. Usually it is pointless fields, typing the same data twice, or getting nothing back from the system. Orders from above achieve little; simplification and automatic reminders achieve a lot.

Not necessarily. Some firms already pay for a CRM and use only a small part of it. In that case rebuilding the stages and integrations in the current tool is often enough, and switching platforms only makes sense once it genuinely holds sales back.
