How we work with public buyers

Helpdesk for staff

Clerks, teachers and social workers raise requests by form, email or Teams: accounts, printing to PDF, a qualified signature that has “suddenly stopped working”, access to the ePUAP inbox after someone changes role.

The yearly KRI and KSC cycle

Keeping the hardware and software inventory current, reviewing permissions, testing a backup restore and preparing material for the internal audit. Alongside that, an incident procedure written with the national cybersecurity act (KSC) and NIS2 in mind, in case the unit falls under them.

EZD RP and document flow

Workstations ready for EZD RP, ePUAP inboxes and the e-Doręczenia address configured, signing certificates in order. We run the technical side of the EZD rollout together with the unit’s records coordinator.

BIP, website and accessibility statement

Platform updates, backups and an accessibility check after every major publication. Each year we gather the input for the accessibility statement before it is due, and we fix issues before a resident’s complaint points them out.

Report for the head of the unit

One page at an agreed interval covering tickets, backup status, updates and incidents, plus a periodic summary of risks and needs the secretary or treasurer can use for budget planning and any funding applications.

The first weeks with a new client

Taking over IT at a public office is more than receiving a list of passwords. Responsibilities have to be agreed, and the handover should be invisible to the departments that rely on it.

Input for procurement

We supply a package description with scope and service levels that the buyer can draw on when preparing the technical part of the specification.

Review and handover

A remote review of servers, workstations and licences, followed by a documented handover of access from the previous contractor, open issues included.

Who does what

We write down which jobs the in-house IT person or local technician handles on site and which our team handles remotely. That split goes into the KRI documentation.

A calendar for the year

Dates for permission reviews, restore tests, the internal audit and the accessibility statement refresh. We send the reminders, so the inspector does not have to.

One package for several units can cost less than several separate contracts. The municipality, its schools, the library and the welfare centre share the same standards for accounts, backups and security, and the town hall receives a single combined report. A head teacher no longer has to draft a security policy or hunt for an IT contractor alone.

Questions and answers

So that person has cover and time for work nobody else can do: equipment in the building, contact with departments, purchasing. We absorb the routine of patching, monitoring, backups, accounts and KRI paperwork. When they are on leave or off sick, the organisation is not left without support.

That depends on the type of body and what it does, and the formal assessment should come from your in-house legal adviser. The package is built on measures that help either way: an incident register, permission management, logging and backups. If obligations grow, we add the missing parts rather than rebuilding from scratch.

Yes. A full year of evidence sits in one place: the inventory, permission reviews, restore test reports and the incident register. Before an inspection we pull together a summary, and we join online when the inspector has technical questions.

Yes. The contract can be signed by the municipal office for the whole group, or separately by a school or library. Schools add pupil accounts in Microsoft 365 or Google Workspace, the electronic register and computer rooms, where the ICT teacher or a local technician does the hands-on work while we handle configuration.

The usual starting point is the Business plan at PLN 3,900/month excl. VAT, with the exact price set once we know the number of workstations and the scope. Where several units share one contract, we prepare a custom quote. Figures are laid out so they drop straight into the estimated contract value, while the choice of procurement procedure stays with the buyer.
